Biodata Format for Government Jobs in India

Short answer: a government biodata is a formal, single-column document containing personal details (including father's name, date of birth and category), a passport-size photograph, your complete education history from 10th standard onwards in a table, work experience, and a signed declaration with place and date.

It is deliberately different from a private-sector resume — more personal, more complete, and less "marketed". And one rule overrides everything below: if the recruitment notification prescribes its own format, follow that exactly.

Every year, thousands of otherwise-eligible candidates have applications set aside for reasons that have nothing to do with their ability: a missing declaration, an unsigned page, a date of birth that doesn't match the 10th certificate, or a resume submitted in a slick corporate format where a formal biodata was expected.

This guide gives you the standard structure, a complete filled example, the exact declaration wording, and the specific mistakes that cause rejection.

Biodata vs resume: why government applications are different

A private-sector resume sells you. It leads with achievements, drops anything old or irrelevant, and deliberately omits personal details that could invite bias. A government biodata does close to the opposite: it documents you, completely and verifiably, in a form that can be checked against your certificates.

The rule that overrides this entire guide: many departments, PSUs, commissions and state bodies publish their own application form or biodata proforma inside the recruitment notification. Where they do, that document is the format — not this one, and not any template site's. Read the notification fully before you prepare anything. The declaration: use the standard wording

This is the single most-skipped element, and an unsigned or missing declaration can cause an application to be treated as incomplete. The conventional wording is:

"I hereby declare that all the information given above is true and correct to the best of my knowledge and belief. I understand that in the event of any information being found false or incorrect, my candidature/appointment is liable to be cancelled/terminated."

Below it, always include three things: Place, Date, and your signature. On printed copies, sign in blue or black ink. For online submissions a scanned signature is normally uploaded as specified in the notification.

Signature consistency matters more than people expect. The signature on your biodata, your application form, and your self-attested documents should look the same. Mismatches create avoidable questions at the document verification stage.

Photograph and signature: check the notification's specs

For a printed biodata, a recent passport-size photograph pasted or printed at the top right is standard. For online applications, most recruitment bodies specify precise requirements, and these vary between organisations — typical parameters include:

Mistakes that get applications rejected

  1. Details that don't match your certificates. Your name spelling and date of birth should match your 10th certificate exactly. This is the single most common cause of trouble at verification.
  2. Missing declaration, signature or date. Treated as an incomplete document, often with no second chance.
  3. Ignoring the prescribed proforma. If the notification includes a format, using your own is a self-inflicted rejection.
  4. Incomplete education table. Leaving out 10th or 12th, or omitting the board, year or percentage columns.
  5. Vague employment dates or duties. "2021 – present, accounts work" is not enough; give month, year and actual duties.
  6. Wrong certificate format for the post. Category and other certificates may need to be in a specific prescribed format for central posts; a state-format certificate is not always accepted.
  7. Photo that fails the specification. Wrong background colour, oversized file, or an old photograph.
  8. No NOC when already in government service. If you are currently employed in government, the required permission or no-objection certificate must be arranged as specified.
  9. Corporate-style design. Colour bars, icons, two columns and marketing language look out of place and can make verification harder. Keep it plain and single-column.
  10. Unexplained gaps. Where there is a break in education or employment, state it plainly with dates rather than leaving a silent gap.
